HSA-1 Privacy Policy |
The HSA-1 Privacy Policy details how HSA-1 protects member's personal data. It addresses three concerns. First is the desire to protect personal information in general. With this in mind, we do not distribute the electronic membership database outside the club leadership or the printed directory outside of club membership. Second is the desire to protect members from having their personal information added to telemarketer or spammer lists. With this in mind, we do not post residence addresses, telephone numbers, or email addresses on the web site, except when specifically authorized by the individual. Third is the desire to protect members who want to maintain their privacy and remain hidden from web searches. With this in mind, we do not post last names on the web site, except when specifically authorized by the individual.
This Privacy Policy was approved by vote of the Executive Committee in August 2007.
The Membership Committee Chair maintains an electronic database of all HSA-1 Members. This database is available to any member of the HSA-1 Afterguard, that is, the Executive Committee (Commodore, Vice Commodore, Fleet Captain, Secretary, Treasurer, and Immediate Past Commodore), Chairs of the Standing Committees (Activities, Racing, Newsletter, and Membership), and Support (Photographer and Webmaster). The database is not given, in whole or in part, to anyone else.
The printed HSA-1 Membership Directory is distributed to all HSA-1 members (Regular, Continuing, and Honorary) annually. It is not given to anyone else. Anyone receiving the directory is expected to respect the privacy of HSA-1 members and not give the directory to any non-member.
The HSA-1 web site does not place cookies on the visitor's computer.
Most web pages are flagged as being off-limits to web indexing bots. However, pages that might be of interest to the general sailing public or sailors who might be interested in joining HSA-1 are left available to indexing bots.
Personal data pertaining to HSA-1 members that is posted on the club web site is generally limited to first name and boat name. Last names, telephone numbers, residence addresses, and email addresses are not posted, except as stated below.&nbps; This policy regarding personal data also applies to the public photo album maintained by the club photographer and accessed via the "Activity Photos" page.
There are several places on the HSA-1 web site where email links to members are provided. For example, the "Afterguard" page provides links to the club leadership and the "Activities" page provides links to event leaders. Whenever these email links are provided, they are implemented by software that hides the email address from prying eyes and search bots, except as stated below.
Personal data such as last names, telephone numbers, residence addresses, and email addresses may be posted on the web site in certain circumstances, with the explicit permission of the individual. Examples are postings in the "For Sale" area and flyers describing club activities such as raft-ups for which contact with event leaders is desired.
The HSA-1 web site provides links to other sites. HSA-1 has no control over these sites and each member should review the privacy policy of any site they visit. HSA-1 has no control over what members post on such sites and each member is expected to respect the privacy of all individuals. A specific example of such a site is the "Forum".
HSA-1 uses a commercial listserver company for mass email distribution to members. The company guarantees that the email address list is not disclosed to third parties. HSA-1 members are not added to the listserver list unless they positively opt in to the listserver. Anyone on the email list who decides that they no longer want to be on the distribution list can remove their name from the list via a link that is provided on each message sent out by the listserver or by contacting the HSA-1 webmaster. The listserver currently being used is Your Mailing List Provider, which can be explored at YMLP.
The Privacy Policy is subject to annual review by the Executive Committee and open discussion by HSA-1 membership at the Annual Meeting.
Questions concerning the Privacy Policy should be directed to the Commodore. Questions concerning how it is implemented on the web site should be directed to the Webmaster.
